Some SOPs (Standard Operating Procedures)

Time Service: Our standard time service goal is 30 days. Current market conditions beyond our control (e.g. governmental shut-downs due to health concerns) will impact time service but we will continue to strive for this goal. For surveys which require an appointment, your insured's schedule may extend this time. For premium audits, the policy expiration date in relation to your order date may also extend this time.

Rush Orders: We consider requests with less than 30 day time constraints to be rush orders. A "5 day" requirement could be potentially more difficult to complete than a "26 day" requirement. If you have a "rush" order, we will make every effort to complete the survey by your desired due date. When ordering that "5 day" rush request, you should contact your Account Manager and they will tell you, once they confer with our Operations Department, whether there will be any apparent difficulties in meeting your due date. This service is provided at no additional charge.
If you have to have a rush case completed without fail and if your budget allows for additional charges, we can normally meet any due date by charging time and expenses.

Abbreviated Surveys: Abbreviated Commercial Lines surveys are typically charged at 1 hour with a few "shorter" surveys being completed in less time. For you this represents a benchmark charge. For us, this also represents a benchmark charge derived from a budgeted amount of scheduled time to complete a "flat-rated" survey. If the risk size and/or operational scope exceeds our budgeted time, we have to either convert to hourly or do the best job we can with the budgeted time available (please see Abbreviated Survey Conversion).

Abbreviated Survey Conversion: Unless instructed by you to the contrary (usually as part of our Account Manager's initial account set-up with your company) we will convert Abbreviated Commercial Lines surveys to exceed 1 hour based upon the risk size and/or operational scope. For example, if you order a CFSS on a 40,000 square foot manufacturing facility, we will convert this to hourly in order to have enough survey time to adequately inspect the risk and provide you with the level of detail you need to underwrite the risk.
We do not convert surveys on a whim nor does conversion equate to "runaway" charges. We are sensitive to your needs and to controlling your costs. In many instances, a conversion might be an extra 1/4 to 1/2 hour. Certainly if your account has been set-up with a "no conversion" request, we will do the best job we can with the time available.

Limited Surveys: Limited Commercial Lines surveys are appropriate for Surplus Lines markets. These surveys are typically flat-rated for 1 hour or less and are not converted to a more "in-depth" survey based upon the scope of the operation and/or physical size. Therefore, please realize that we will do the best job we can with the time available if you should order this on a larger risk and/or one with multiple operational exposures.

Diagrams: Most survey descriptions will indicate if a diagram is automatically included. We are happy to provide diagrams on any survey type based upon your individual request in the Comments / Special Instructions section of an order. If you have "blanket" requirements for diagrams on survey types for which we would typically not automatically provide them, we will be happy to set-up this parameter on a global basis for your account.

Building Valuations: Some survey descriptions indicate that "Building Valuation is provided when applicable". We view a valuation as "applicable" if the named insured is the building owner. If the named insured is a tenant, we do not complete a Building Valuation unless requested. We are happy to provide valuations on any survey type based upon your individual request in the Comments / Special Instructions section of an order. If you have "blanket" requirements for valuations, we will be happy to set-up this parameter on a global basis for your account.

- IMC Inland Marine - Contractors Equipment Survey includes: contractors equipment exposures; Interior / Exterior with focus on storage, security, operators, maintenance, and transportation. No Diagram or Building Valuation. For focus on Inland Marine exposures other than contractor's equipment, please contact an Account Manager and we will be happy to match your needs with one of our specialized inland marine reports.
- MTSC Midwest Technical Safety Consultants services includes: Higher level Risk Assessment. We will need to speak with you to discuss the scope of the work.
- OLT Premises Liability / Public Liability Survey includes: Interior / Exterior Premises Liability coverage; No Diagram or Building Valuation.
- PLS Products Liability Survey includes: Products Liability coverage designed for Products exposure for Food & Beverage risks, Retail / Wholesale / Distributor risks, and Manufacturing / Assembly risks. A CGL survey is added for Installation / Service / Repair risks. No Diagram or Building Valuation.
- RCC Replacement Cost Commercial Survey includes: Diagram and Commercial Building Valuation only. No other information provided.
- RCFF Roof Commercial Full Survey includes: Detailed information regarding construction / geometry, condition, and wind / snow-loading; Interior and Exterior observation; No Diagram or Building Valuation.
- RES Resurvey / Recommendations Check Resurvey should only be ordered for the purposes of checking recommendation compliance (please email or fax specific recs to be evaluated for compliance) and/or for specific inquiry and verification of a particular item (e.g., Has the roof been repaired?). If you had ordered a survey in the past and you want another full survey, please order the specific surveys you desire (e.g., BOPB, WCS). Farm Surveys
Farm operations can be extremely varied ranging from the small-scale inactive or "hobby" farms to large-scale business enterprises. Your information needs may also vary regardless of the scale of the risk. Here are some logical survey options for your farm risks. Remember based upon your needs, survey types can be combined to create the most suitable report for your particular risk. For example, you may have a small, inactive farm that is primarily a residence with many outbuildings for which a DOS and OCS combination may suit your needs. - ACS - Abbreviated Contractors Telephone Survey includes: Description of operations / work performed, employee information and use of subcontractors, exposure to hazardous materials, equipment used and method of storage, and loss information for the past three years.
- ACT - Auto Class Telephone Survey includes: UOTS information with additional information regarding vehicle condition and customization, driver employment, driver impairments, information regarding drivers under age 25, non-licensed drivers, previous carrier and reason for change, and losses and violations for the past three years.
- AGCY - Agency Telephone Survey includes: Operations of the agency including annual written premium and loss ratio, principals of the agency and their educational and employment history; Includes a detailed narrative.
- BOPT - Business Owners Telephone Survey includes: Description of operations including principal products / services, major customers and employee information, principals of the business, and building information regarding construction and adjacent exposures.
- CSRQ - Cooking Supplement Restaurant Questionnaire includes: Equipment used, safety features and cleanliness program, and changes and updates to the kitchen.
- CVAC - Commercial Vehicle / Abbreviated Contractors Telephone Survey includes: ACS (Abbreviated Contractors Survey) and a CVCT (Commercial Vehicle Telephone Survey); Includes a detailed narrative.
- CVCT - Commercial Vehicle Telephone Survey includes: Description of operations including commodities hauled and radius of operation, number of vehicles used and their Gross Vehicle Weight, driver information, previous carrier, and loss information for the past three years; Includes a detailed narrative.
- FTS - Farm Telephone Survey includes: Description of farm operations outlining crops, livestock, and recreation exposures.
- GLST - Garage Liability Telephone Survey includes: Description of operations / work performed, employee / driver / owner information, previous carrier and reason for change, loss information for the past three years; Includes detailed narrative.
- HFR - Horse Farm / Horse Operations Telephone Survey includes: Information on all horse exposures including but not limited to boarding, breeding, lessons, rides, shows, etc.

- TRC - Telephone Residential Replacement Cost includes: Building Valuation information based upon telephone and/or questionnaire responses; Building Valuation can be returned as either a worksheet or as a calculated version using one of several valuation programs.
- UOTS - Uses & Operators Telephone Survey includes: All vehicles and drivers in the household, usage of vehicles including mileage if commuting and annual mileage.
- VBTS - Vacant Building Telephone Survey includes: Description of premises including construction and adjacent exposures, property stored on premises, principals of the business, and loss information for the past three years.
- WCAC - Workers Compensation / Abbreviated Contractors Telephone Survey includes: WCP (Worker's Compensation Survey) and an ACS (Abbreviated Contractors Survey); Includes a detailed narrative.

This saves money and improves service while reducing the appointment "hassle" for the insured. Documentation is provided electronically via our GISA Secure Documents Portal with telephone interviews with the insured and/or insureds contact to discuss the nature of the operations, a review of the financial documentation, and a review of the preliminary results of the audit.
- AUD - Physical Audit should only be used when a site visit is absolutely required. It has the same high degree of thoroughness as a Verified Audit and does not differ from it in any other respect.
- TAUD - Telephone Audit is conducted via telephone interview with the insured and information for the audit is obtained verbally. Documentation can be provided as support, but is not required.
- MAUD - Voluntary Mail Audit has instructions sent via our GISA Secure Documents Portal or land mail to the insureds contact requesting they complete their Voluntary Audit. Once received this information is forwarded directly to the insurance company unless intermediate procedural steps are requested.
